Recent small business reporting has again highlighted how quickly cyber fraud is evolving, with office-based firms facing sharper exposure from business email compromise, invoice redirection and impersonation attempts that can look increasingly convincing.
For SMEs that rely on cloud accounting, shared inboxes and remote approvals, this is not just a technology issue.
It is an insurance and continuity issue.

The risk is especially relevant for professional services, consultants, agencies, real estate offices, medical administration teams and other businesses that regularly handle invoices, client records or supplier payments. A single compromised email account can be enough to redirect funds, expose personal information or interrupt day-to-day operations while systems are checked and restored.

For many office-based businesses, the insurance question is no longer simply whether they have cyber cover. It is whether the cover matches how the business actually operates. Policies can differ significantly in how they respond to social engineering, fraudulent funds transfer, incident response costs, data restoration, business interruption, notification expenses and third-party claims. Some protections may sit under a cyber policy, while others may be limited, excluded or subject to specific conditions.

This is where preparation matters. Businesses should review how payment changes are approved, whether multi-factor authentication is applied across email and finance platforms, who can access sensitive data, and how quickly the team could operate if core systems were unavailable. These controls may reduce the likelihood of a claim and can also influence how insurers assess the quality of the risk. SMEs can also estimate suitable limits before seeking formal advice or comparing policy options.

There is also a claims lesson. If an incident occurs, insurers typically expect prompt notification, clear records and evidence of reasonable security practices. Delays in reporting, informal workarounds or missing documentation can make an already stressful event harder to resolve. Keeping incident response contacts, policy details and backup procedures accessible outside the compromised system is a simple but valuable step.

For office-based SMEs, the latest cyber fraud trend reinforces the need to treat insurance as part of a broader resilience plan. Reviewing office insurance, cyber liability, professional indemnity and crime-related cover together can help identify gaps that may not be obvious when policies are considered in isolation. Businesses with complex client contracts, higher data exposure or frequent electronic payments may benefit from working with a broker or adviser to test whether current cover reflects current operating risk.
